Re: Payroll – Period End Processing

The following is an outline of the programs that should be
run and procedures that should be followed at the end of the period, related to
reporting and closing Payroll.
This discussion starts after the last payroll that is to be
changed has been processed and is for the current accounting period. Run whichever of the following reports is
needed, although none are required for the operation of the Payroll or General
Ledger systems.
The following programs should be run at the end of each
accounting period:
1. Pension
Register
2. Period-to-Date
Register
3. Check Register
At the end of each quarter, you may choose to run (for tax
filing purposes) any of the following:
1. Quarterly
Earnings Tax Register
2. Unemployment
Tax Register
At the end of each half, you may choose to run (for tax or
insurance purposes) the following:
Workers
Comp Register
At the end of each year, you may choose to run any of the
following:
1. Period-to-Date
Register
2. Payroll W-2
forms
At this point, you should interface to the General Ledger by
doing the following:
1. Payroll
Posting Register
2. Update
Payroll batch to G/L.
3. Print
Posting Register for batches that were just updated.
4. Post Payroll
to G/L.
You may now continue processing the new period. Any activity entered after this point that
should have been part of the period just closed should be posted to the new
current period.
The following is a outline of the programs that should be
run and procedures that should be followed at the end of the period, related to
reporting and closing Commodity Inventory.
This discussion starts after the last entry, production and
adjustment has been processed. Run whichever of the following reports is
needed.
The following programs should be run at the end of each
accounting period:
1. Summary
Register for Purchases
2. Summary
Register for Sales
3. You are now ready to merge Commodity
Inventory to G/L. Proceed as follows:
a. In
the G/L module, run Update to Post for source C/I.
b. In
the G/L module, print the Posting Register for source C/I.
c. In
the G/L module, run Post to G/L for source AC/I.
You may now continue processing the new period. Any activity entered after this point that
should have been part of the period just closed should be posted to the new
current period.
Freight
Accounting
The following is an outline of the programs that should be
run and procedures that should be followed at the end of the period, related to
reporting and closing Freight Accounting.
This discussion starts after the last purchase and sale
transactions have been processed.
The following programs should be run at the end of each
accounting period:
1. Accrual
Trial Balance
2. You are now ready to merge Freight
Accounting to G/L. Proceed as follows:
a. In
the G/L module, run Update to Post for source Freight.
b. In
the G/L module, print the Posting Register for source Freight.
c. In
the G/L module, run Post to G/L for source Freight.
You may now continue processing the new period. Any activity entered after this point that
should have been part of the period just closed should be posted to the new
current period.
